    This is an academic appointment intended to cover student employees who are currently enrolled at San Diego State University.  This position is a half-time appointment, paid hourly for hours worked not to exceed 20-hours per week.


    This position is responsible for invoicing position lending accounts receivable and administrative support to the Finance & Accounting Department. 




    Reporting to the Budget & Finance Manager, the student assistant is responsible for but not limited to:


    AR Invoice processing: 50%

    • Tracks Facilities-related accounts receivable activity to be invoiced each month, ensuring accuracy of amounts, recipients, and invoice descriptions.
    • Set up and process accounts receivable invoices, including setting up vendor codes, payment detail codes, and printing invoices.
    • Run outstanding accounts receivable report and facilitate answers regarding outstanding balances for property manager.
    • Void or adjust invoices as needed.


    Accounting and Budget Assistance: 20%

    • Prepare journal vouchers for budget-related needs such as rent transactions, account or fund code corrections, project closeout, and internal financing needs.
    • Prepare cash receipts as needed for Facilities-related payments and reimbursements.
    • Prepare budget upload journal vouchers for facilities funds including original budget setup, midyear changes, and budget adjustments as needed.


    Administrative support: 20%

    • Includes filing documents into databases, processing and updating forms, auditing documents for accuracy.


    Other Duties and Responsibilities as Assigned 10%


    Students must be currently enrolled as a student at SDSU. Undergraduate students must be enrolled in at least 6 units and be in good academic standing; Graduate students must be enrolled in at least 5 graduate weighted units and be in good academic standing. 


    Preferred Experience:

    • Accounting background and/or completion of undergraduate accounting course(s)
    • Previous experience working in an office environment, customer service environment or Accounting Department


    A background check (including a criminal records check) must be completed satisfactorily before any candidate can be offered a position with SDSU Research Foundation
